It is the most frequent question and the hardest to answer with a number: the cost of custom software depends on what the software is. But the variables that determine it are concrete, and knowing them lets you evaluate any quote with judgment.
The variables that define cost
- Functional scope: how many screens, flows, and rules the system has. This is the main factor.
- Integrations: each external system to connect adds analysis, development, and testing.
- Users and permissions: an internal tool does not cost the same as a multi-user platform with roles.
- Process complexity: business rules with many exceptions require more design and more testing.
- Non-functional requirements: security, data volume, required availability.
- Maintenance: cost does not end at delivery; the system lives and evolves.
Why to distrust the extremes
A very low quote usually omits discovery, testing, or maintenance: the cheap price shows up later as rework. A very high quote with no breakdown is not serious either. What is reasonable is a quote tied to a written scope that you can read and validate.
How to lower cost without lowering quality
By cutting scope, not quality: start with the minimum version that solves the problem end to end and evolve with the system already in production. Defining that cut well is engineering work, and it is the best investment in the project.
