How to automate administrative tasks without replacing all of your systems

The most expensive myth in automation: believing you have to replace all of the software. Most workflows are automated by connecting what already exists.

Many companies postpone automation because they believe it means replacing their current systems: migrating data, retraining everyone, putting operations at risk. The good news is that it is almost never necessary.

Automating is connecting, not replacing

Most of the administrative load is not inside the systems: it is between them. Someone downloads the email attachment, reads the invoice, types the data into the accounting system, and notes the due date in a spreadsheet. Automation targets exactly those manual bridges.

A typical workflow, automated in parts

  • Intake: documents that arrive by email are captured on their own.
  • Reading: the system extracts the data from each source document.
  • Recording: the data is loaded into the existing accounting system.
  • Control: due dates generate automatic alerts.
  • Exceptions: anything the system cannot resolve with confidence goes to human review.

When it does make sense to change a system

When the current system allows no form of integration, or when its maintenance cost exceeds the cost of replacing it. That is the exception, not the rule, and it is detected in the diagnostic before you invest in automating on a fragile base.
