OCR is the technology that makes it possible to automatically read the content of an image or document. Combined with artificial intelligence, it does not only transcribe: it understands what each data point is — date, amount, vendor — and records it where it belongs.
How the workflow works
- The document comes in by email, direct upload, or scan.
- The system reads it and extracts the relevant fields.
- The data is validated against rules and against other systems.
- What passes validation is recorded automatically.
- Anything uncertain goes to a human review queue, with the document and the extraction side by side.
The key question: how accurate is it?
It depends on the type and quality of the documents, which is why it is measured with your real documents during implementation. The right design does not promise perfection: it calibrates the system so it processes only what it can resolve with confidence and routes the rest to review. That way, errors do not reach the accounting system.
Where it has the most impact
In high-volume workflows: accounting firms with source documents from dozens of clients, administration teams with vendor invoices, organizations that digitize historical archives. There, each point of automation is weekly hours recovered.
